    Start vague

    Most people type one sentence. The AI has to guess everything, so the report could be about any event.

    Add AIM

    Actor, Input, Mission. Three parts tell the AI who is writing, what it needs to know and what to produce.

    Sharpen the verb

    "Write" becomes "Draft". A precise verb and a clear object tell the AI what finished looks like.

    Start from the standard

    Point to an approved example. The AI copies a shape your office already accepts.

    Ask, then verify

    Let the AI ask before it writes, and flag what it is unsure of. You check every fact and make the call.
